How to use the customer relationship manager (CRM)

The Ayotree CRM system helps you to keep track of your contacts. You can view detailed information and send personalized emails (i.e. promotions, newsletters) to specific groups. The contacts are organized into the 3 groups below.


  • Student Enquires (Prospects)
  • Enrolled Students
  • Former Students


The admin can use the following features below with any group.


  • Add or retrieve student information
  • Schedule a meeting (i.e. interview)
  • Administer a placement test
  • Give credit for a free lesson
  • Add/Track student contact activity
  • Send newsletters



Student Enquiries (Prospects)


This group of students registered but not enrolled. The prospective students can register for school by either filling out a form online or through one of your admins. Once they are in the system, you can assign the prospect to an admin.

  • Sales activity tracking

Store contact information, student availability, documents, add credit balance or see placement test results.

Record contact activities with student contact actions.



Enrolled Students


View course information for currently enrolled students




Former Students  


If you remove the students from a course, and if the students don't have any other courses at your school, they will be moved to former students after you delete them from the course.
